Add files and folders from disk

Use GLOBODOX’s ‘Find and Add’ and ‘Add folders’ options to search and add individual files, batches of documents, or an entire folder from your disk with a single click. With GLOBODOX, adding files and folders becomes just as easy as adding single ones.

For instance, you can use the Add Folders from Disk option to import your existing folder structure along with documents in GLOBODOX. Your staff will find it easier to find documents in GLOBODOX as they are already familiar with the folder structure.

Drag & Drop almost anything

Simply drag and drop documents as well as folders into Globodox. When you drag folders, they retain the same structure inside Globodox. You can also drag and drop e-mail messages and attachments from MS Outlook, Outlook Express, and Windows Mail. GLOBODOX also lets you drag and drop selected text or images from web pages and documents.

For instance, if you receive purchase orders from your clients via email, you can drag and drop those messages into a separate GLOBODOX database to make them easier to find and retrieve for future reference.

Scan paper documents

Scan paper documents and convert them to PDF using GLOBODOX’s powerful scanning feature. The scanning interface lets you quickly scan and add multiple single-page or multi-page documents. Multiple multi-page documents can be scanned together by separating them with a barcoded page or a blank page. Both ADF and duplex scanners are supported. The Virtual Duplex feature enables duplex scanning on scanners that do not support duplex scanning!

You can use GLOBODOX’s powerful scanning feature to create a paperless office and perform fast and accurate backfile scanning, regardless of how many paper documents you’ve accumulated in the past. GLOBODOX works with any TWAIN compliant scanners. It supports scanners with an Automatic Document Feeder and Duplex scanning

GLOBODOX virtual printer

Use GLOBODOX’s in-built virtual printer to print pages from any Windows application as PDF documents. Remember that any page or document that can be printed, can be converted to PDF using GLOBODOX’s virtual printer.

Let’s say you make an online purchase and get an electronic receipt for your payment. You can easily use GLOBODOX’s virtual printer to save the receipt as a PDF document.

Send to

Add files to GLOBODOX straight from your hard disk by right-clicking on the file(s) and selecting the Send To… GLOBODOX option on the contextual menu in Windows Explorer.

For instance, let say you have a batch of documents in a folder that you want to import to GLOBODOX. All you have to do is select all the documents, right-click and select Send To GLOBODOX option from the menu. 

Watch folders

Setup GLOBODOX to watch specific folders on your hard disk. This way, whenever a new file is added to these ‘watched’ folders, the file automatically gets added to GLOBODOX. Use this feature to simplify the process of adding files to GLOBODOX, especially if you have to do it frequently or for too many files. You can define ‘destination profiles’ for each of the folders you watch, to further automate the adding and indexing process. A destination profile in GLOBODOX lets you determine the folder or database where a document should be added, the tags to attach to the document, and the associated document type.

If you use an ERP, or any other software that generates and exports documents and reports that you wish to maintain on GLOBODOX, you can setup GLOBODOX to watch those folders and import documents as soon as they are generated. For instance, if your accounting software generates different financial statements, say, bills and daily balance sheets, you can setup GLOBODOX to watch the separate folders where these get saved initially. When a new bill or a balance sheet gets added to the respective folder, you can create and assign destination profiles to these folders. So, a bill can automatically be saved as a ‘Bill’ document type in a separate database, while a balance sheet can be saved to a separate ‘Balance Sheet’ document type without requiring any manual data entry.

Import indexing data

Import indexing data to your document database using simple .CSV files. GLOBODOX’s Import wizard guides you through some quick and easy steps to import documents and their indexing information to a GLOBODOX DB of your choice.

You can use this feature to quickly migrate from another DMS to GLOBODOX by exporting indexing data from your old DMS and importing it to GLOBODOX in the .csv format. You can also use the .csv import feature if you regularly receive documents with indexing information from an outsourced scanning vendor to import to GLOBODOX, or if you frequently have to import documents with indexing data from other applications.

Import using Command line utility

Power users can use GLOBODOX’s PowerShell-based command line utility to add documents to DBs using simple commands. They can create and execute batch files/scripts to automatically add multiple documents in a flash.

For instance, you can create a PowerShell script that automatically executes at the end of the day, every day and imports documents into GLOBODOX, without interrupting your daily operations.

Import using SDKs

Use GLOBODOX’s JavaScript and .Net SDKs to include GLOBODOX’s document management functions into your proprietary software application or any third-party applications that you use.

For example, you can use GLOBODOX’s SDK to add an ‘Add to GLOBODOX’ button in your invoicing software to easily add and index invoices as soon as they are generated. You can also access GLOBODOX’s other industry-leading document management features to add functionality to your application.

Import using REST API

Integrate GLOBODOX with third-party as well as proprietary applications you use in your organization, using GLOBODOX’s REST API. The REST API can be used from any platform and programming language.

The REST API is also ideal for integration between GLOBODOX and web-based applications that expose webhooks.

For instance, lets you integrate your internal ERP application and GLOBODOX, to automatically import and index bills, receipts, and purchase order forms from vendors into your selected GLOBODOX database.

Capture Email

Capture and import email messages to GLOBODOX from any POP3 email inbox along with associated indexing information, such as sender name and time of receipt, which enables you to find and filter files easily for future reference.

For instance, you can use this feature to download messages from your email inbox as soon as they are received, and can link them to other documents in the DB. You can also leverage this feature for special-purpose email inboxes that only receive a single type of emails, such as job applications on a dedicated HR email inbox. 

GLOBODOX Virtual drive

Add files to your GLOBODOX DB directly from Windows Explorer, via GLOBODOX’s virtual drive that appears alongside your hard disk drives (C:, D:, etc.). Users can drag and drop any number of files from their hard disk into GLOBODOX’s database without having to repeatedly open and navigate through the application interface each time they want to add new documents.

For instance, you can open a Globodox Document for viewing from within any Windows application. This is especially useful when attaching documents to an email that you are sending (for e.g., via MS Outlook or Gmail running in your browser) or for viewing any documents from within its native application.
